Who are we and what do we do?

We are RaymakersKayser Personeel en Organisatie BV(Rvdb, us and we).

As an HR service provider, we support organizations (our Clients) by filling permanent and interim HR vacancies and consultancy services. We also help HR professionals(HR Professionals) in various stages of their careers with training, education and mediation in the field of HR. Think of our HR Traineeship, our Talent Scan, our job site, or our candidate portal. More information can be found on our Website www.rvdb.nl. We refer to all these services collectively as our Services.

Your privacy is very important to us. We therefore see it as our responsibility to protect your privacy. In this Privacy Statement we explain which (types of) Personal Data we process through our Services. We also explain for what purposes we use Personal Data, what role we have in the processing of Personal Data, and for how long we retain Personal Data.

Personal data and privacy laws

We process Personal Data. The term Personal Data refers to any information by which an individual can be directly or indirectly identified. Under the General Data Protection Regulation (AVG)[1] and other relevant laws and regulations on the protection of Personal Data, we are the Controller. If you have any questions about the processing of your Personal Data that are not answered in this Privacy Statement, please contact us using the contact details on this page.

What Personal Data do we process and for what purposes do we use it?

As a Controller, we may process Personal Data when (i) you purchase Services from us, for example, when you hire an interim HR professional through us, (ii) when you book a workshop or (iii) when you use our Candiates Platform. In addition, we process Personal Data in a general context. Below you can read how we process Personal Data.

Services to Clients (including hiring freelancers and posting vacancies)

Personal data

Purpose(s).

Basis(s).

When you purchase (part of) our Services:

– First and last name contact person;

– Contact contact information (e-mail address, phone number);

– Company name and address;

– Notes from conversations;

– Other personal data that you actively provide, for example by completing an application form or in correspondence and telephone contact (optional); and

– Public information obtained from Internet and social media profiles (LinkedIn), such as work experience and positions.

We use this data to:

– To enter into the agreement with you; and

– Maintain contact regarding the delivery of our Services.

We may process this Personal Data because this Personal Data is necessary for the conclusion and performance of our agreement.

We have a legitimate interest in processing optional Personal Data because this information further colors our cooperation. You choose which information you share here.

We have a legitimate interest in collecting (public) information about your career in order to serve you better. We always give you the opportunity to respond to information we have found online.

Financial data related to our Services:

– Chamber of Commerce number;

– VAT number; and

– Billing and payment information.

We use this data to:

– Prepare invoices for your use of our Services;

– To be recorded in our financial records; and

– Share with the Internal Revenue Service where appropriate.

We may process this Personal Data because we need it to perform our agreement.

In addition, we are required by law to document our finances and share them (in part) with the Internal Revenue Service.

Services to HR professionals (including Talent Scan, job postings, HR Traineeship and interim assignments)

Personal data

Purpose(s).

Basis(s).

When you do our talent scan:

– First and last name;

– E-mail address;

– Phone number (optional);

– Personality questionnaire responses; and

– Talent Report.

We use this data to:

– Contact you and schedule the talent scan (incl. interview);

– Conduct the talent scan and share the results with you; and

– To include you in our talent pool.

We may process this Personal Data because this Personal Data is necessary for the conclusion and performance of our agreement (the performance of the talent scan).

We have a legitimate interest in processing optional Personal Data because this information further colors our cooperation. You choose which information you share here.

When you respond to a job posting on our website from one of our clients or Rvdb:

– First and last name;

– E-mail address;

– Phone number;

– Residence;

– Motivation (optional);

– LinkedIn profile (optional);

– CV (optional);

– That you actively provide, for example by filling out a registration form or in correspondence and telephone contact;

– How you came to this job posting;

– Notes of conversations; and

– Where relevant, assessment or other reviews.

We use this data to:

– Contact you and schedule the application;

– Conduct the application process and share the results with you; and

– Review your application and select the right candidate.

We may process this Personal Data because we and our clients have a legitimate interest in choosing the right candidate for the vacancy.

We use this data to:

– Enroll in the relevant training program;

– Charting your outcomes during training; and

– To ensure that you pass the training well.

We may process this Personal Data because this Personal Data is necessary for the conclusion and execution of our agreement (relating to the training you attend).

Candidate platform

Personal data

Purpose(s).

Basis(s).

When you create an account for the canditate platform:

– First and last name;

– E-mail address;

– Phone number;

– Password;

– Link to LinkedIn profile (optional); and

– CV and other documents (optional).

We use this data to:

– To create an account for you and thus give you access to the canditate platform; and

– Fill out your account with relevant HR information.

We may process this Personal Data because we need this data to enter into an agreement. This is because without this data, we do not know who accepts our Terms and Conditions and thus enters into an agreement with us.

We have a legitimate interest in processing optional Personal Data. This Personal Data is needed to supplement your profile with relevant information. You decide which information you share in the process.

When you use the search engine in the candidate platform:

– The search terms you enter.

We use this data to:

– Maintain statistics on search behavior within the candidate platf so that we and our partners can optimize the Services.

We may use this Personal Data because we and our partners have a legitimate interest in improving the candidate platform.

School of HX (including events, workshops and trainings)

Personal data

Purpose(s).

Basis(s).

When you register for a workshop, training or other type of event through School of HX:

– First and last name;

– E-mail address;

– Company name (optional);

– Country (optional);

– Information from questionnaires/evaluation forms (optional); and

– Information specific to the event, such as job title (optional).

We use this data to:

– Process your registration for the event; and

– Keeping you informed of updates about the event in question.

We may process this Personal Data because we need this data to enter into an agreement. This is because without this data, we do not know who accepts our Terms and Conditions and thus enters into an agreement with us.

When you make a payment through the School of HX:

– Information about the order, such as the service purchased;

– Status of payment;

– IDeal payment: name, IBAN;

– Credit card payment: name, credit card number, ccv number; and

– On invoice: name, company name, account number.

We use this data to:

– Processing your payment;

– To be recorded in our financial records; and

– Share with the Internal Revenue Service where appropriate.

We may process this Personal Data because we need it to perform our agreement.

In addition, we are required by law to document our finances and share them (in part) with the Internal Revenue Service.

General services (contact, newsletters)

Personal data

Purpose(s).

Basis(s).

When you contact us through our contact form or submit a request for the customer team:

– Name;

– E-mail address;

– Phone number (optional);

– Name of organization (optional); and

– Content of your message.

We use this data to:

– Process your question, comment or other type of message; and

– Contacting you to reply to your message.

We may process this Personal Data because we have a legitimate interest in processing and responding to your message. This Personal Data is necessary for this purpose, otherwise we will not be able to contact you. Non-necessary data is optional and you can decide what information you share in your content message.

When you contact by mail or phone:

– Phone number (if calling); em

– Email address and content mail (if you mail).

We use this data to:

– Process your question, comment or other type of message; and

– Contacting you to reply to your message.

We may process this Personal Data because we have a legitimate interest in processing and responding to your message. This Personal Data is necessary for this purpose, otherwise we will not be able to contact you. You can determine what information you share in your content message.

When you schedule an introduction or appointment with us:

– Name;

– E-mail address;

– Phone number; and

– Notes appointment.

We use this data to:

– Making the appointment with you;

– Keeping you informed of changes to the appointment; and

– Automatically generate and save notes for possible future appointments or collaborations.

We may process this Personal Data because we have a legitimate interest in making and carrying out the appointment with you. We also have a legitimate interest to take notes by automated means, in the context of time and cost efficiency. We always check the notes for accuracy and may also share them with you upon request. This Personal Data is necessary for this purpose, as it allows us to stay in touch.

When you receive our newsletter:

– Name – with existing customers; and

– E-mail address.

We use this data to:

– Keeping you informed about interesting updates and Services in the HR field through our newsletter.

We may process this Personal Data because you have given us your consent or because we have a legitimate interest in keeping you informed about updates and our Services through our newsletter. You can unsubscribe from the newsletter at any time.

Required information

If you wish to use our Services, you may be required to share certain Personal Data with us, as indicated by a (*) on the Website. This information may be required by law or because we need this Personal Data to perform a contract you wish to enter into with us. For example, your contact information if you register for an event. If you do not share this information, we will not be able to provide (part of) our Services.

How long do we keep Personal Data?

It is our policy to process only Personal Data that is essential to provide our Services. Therefore, we retain Personal Data only for as long as we need it for the above purposes. For this purpose, we use at least the following retention periods:

  • Personal data relating to introductions and appointments || This data is kept for one year, after which we ask permission to keep the data longer.
  • Personal data relating to training programs || We retain this data until the end of your participation in the School of HX and for six months thereafter. Then we transfer everything to you and/or delete the data. After that, we ask your permission to keep data longer, as you may want to remain part of our learning community and plan to follow further development activities with us in the future.
  • Personal data of our customers and users || We retain this data for as long as we have a customer or user relationship [and a five-year period thereafter]. We keep this data for 5 years because in our experience HR professionals return to us more often during their careers. Either for training, attending an event, or for a job application. Recording our previous collaborations helps us better understand your preferences and serve you better. Do you want us to stop keeping your Personal Data for this purpose? Then you can exercise your right to delete your Personal Data.
  • Personal data for sending newsletters || This data will be kept as long as the recipient is subscribed to our newsletter. If the recipient is inactive, we will send a reminder several times. If the recipient remains inactive even after this, we will eventually remove the e-mail address from the recipient list.
  • Personal data in our records for the Tax Office || This data is kept for seven (7) years, unless we are required by law to keep the data for a longer period.
  • Other information || We retain other Personal Data only for as long as necessary for the purposes of the processing. This means that other Personal Data will be deleted as soon as it is no longer needed for the purposes for which we processed it.

In specific cases, Personal Data may be processed longer than stated above. This will only happen if we need this Personal Data for bringing legal action or if we are required by law to retain or share the Personal Data.

Do we share your Personal Data with others?

Processors

We use parties who process Personal Data on our behalf(Processors) to provide our Services. For example, we use Processors for:

  • Our CRM and sending newsletters and generating customer leads;
  • Time tracking and invoicing for interim assignments and freelancers;
  • Our Applicant Tracking System;
  • The development and maintenance of our Website;
  • Tracking and recording the cookies used on our Website;
  • Registration for events in the School of HX; and
  • Creating automated call reports using AI.

These Processors may only process Personal Data if we have instructed them to do so and not for other purposes. We have entered into a processor agreement with all of our Processors for this purpose.

External processors

In addition, we may share Personal Data with parties who may or need to process the data for their own purposes. These are:

  • The Internal Revenue Service;
  • Our accountant;
  • Jobfeed (Textkernel), which we integrated via embedding;
  • Mollie, iDeal and Bancontact, for handling payments; and
  • Clients, if authorized by the candidate/employee.

These parties themselves act as Processors for the Personal Data they receive and further process from us.

Apart from the above, we will not share your Personal Data with third parties – unless we are required by law to do so

Exporting data outside the European Union (EU).

We will transfer Personal Data to parties outside the EU only if one of our Processors is located outside the EU. In this case, the Personal Data will only be transferred to countries and/or parties offering an adequate level of protection that complies with European standards. The transfer of data outside the EU will always be done in accordance with the AVG (chapter 5). You can contact us if you would like more information or a copy of the precautions taken.

Third-party websites

You may find (hyper)links on our Website that link to the websites of partners, suppliers, advertisers, sponsors, licensors or other third parties. We have no control over the content or links that appear on these websites, and we are not responsible for the practices of websites linked to or from our Website. In addition, these websites, including their content and links, may change constantly. These websites may have their own privacy statements, terms of use and customer policies. Browsing and interaction on any other website, including websites linked to or from our Website, are subject to the terms and policies of that website.

Your rights

In addition, you always have the right to file a complaint with a supervisory authority if you think we are processing your data unlawfully. In the Netherlands, the supervisory authority for the AVG is the Personal Data Authority:

We will update this Privacy Statement from time to time. Therefore, please check regularly to see if our Privacy Statement has been updated. The new Privacy Statement is effective immediately when posted on our Website. Any material changes to the Privacy Statement will be posted on our Website and we will notify you (if we have your contact information).
